A specimen kit can look complete while one tube or shipping component is near expiry. A regular date check gives study staff time to replace stock before a visit. It does not determine whether a component remains scientifically acceptable.
Define the record before the shift starts
List kit identifier, component, labeled expiry date, storage location, quantity, protocol or vendor reference, check date, and responsible study owner. Transcribe the label; do not calculate an extension or alter the package. Photograph or link evidence only where the approved system permits it.
Work from the controlled source
Review the horizon set by the study or laboratory procedure. Separate expired, approaching expiry, damaged, and label-unreadable items. Quarantine or disposal actions must follow written instructions from the authorized study, laboratory, pharmacy, or safety owner.

Keep the authority boundary visible
The coordinator can count stock, maintain the calendar, and send approved replenishment requests. They cannot release a kit for use, extend dating, substitute components, or interpret specimen requirements. Closure requires replacement, authorized disposition, or documented removal from active stock.
A useful desk procedure names a primary owner, a backup, the permitted communication channel, and the event that triggers escalation. If any of those are missing, the coordinator should surface the gap instead of improvising a rule.
Review the trail and the total
Managers can sample the oldest open item, one recently closed item, and one item that changed owners. The trail should explain what arrived, what action followed, and why the work closed. Repeated missing fields or repeated transfers may point to a process problem, but the counts alone do not establish cause or employee performance.
